When Should You Book Your Party Character Entertainer?

Whether your reserving a princess like Elsa or Moana, a superhero character like Spiderman or Superman, or even a Star Wars character, the most important booking detail is availability. Your search for the perfect entertainer is only fruitful if they can fit you into their schedule and usually the best entertainers have events on the books serval months and even over a year in advance. (We have Star Wars wedding on the books for 8/16/2025!😲). So, when should you book your entertainment? That depends on 3 things: the time of day you'd like to have your party, the type of event you are having, and where you are hosting it.


  • The Time of Day

Peak booking time for weekend birthday parties for children 1-10 years old is 1:00pm-4:00 pm. 72% of our bookings fall into this time slot and the same goes for most other companies. If you're planning to book your party during peak booking time, we recommend doing your best to book about 3 months in advance. If things aren't going that way and you're stuck booking last minute, which we consider to be anything less than 3 weeks from the event date, keep in mind that you may have to have some flexibility when it comes to times. Book your character prior to sending out invitations and if thats not a possibility, don't be afraid to shift your party start time. Your guests can come earlier or later, your entertainer cannot even if they'd really like to make things work for you.

Peak booking time (1:00-4:00 pm): at least 2 months in advance

Non peak booking times: 1-1.5 months in advance

  • The Type of Event

Entertainers work all types of events; weddings, birthday parties, holiday parties, anniversaries, corporate events, community events, and more. The size and significance of your event is a good way to measure how far in advance you should book for. A birthday party, like mentioned in the first bullet point, will usually be smaller scale and have less moving parts, so you can give yourself more flexibility. However, a wedding, a holiday party, anniversary, or corporate event is usually larger scale and working with serval moving parts. While a community event is flexible in some ways, but requires time to be advertised. So we recommend the timelines below to make things simpler for you to plan.

Weddings, anniversaries, holiday parties, and corporate events: 4-6 months in advance

Community events (movie nights, tree lightings, etc): 6-8 months in advance

Large birthday parties, showers, sweet sixteens, bar/bat mitzvahs: 3-6 months in advance

  • Where You Are Hosting

Hosting at home vs a venue or even at a family member's place can effect your ability to schedule entertainment. If you are hosting at your own home, you can pretty much host the party whenever you see fit. It's your house and your rules, which means if you can't get the character at your original desire time, you can adjust the time of the party to suit when they're available. If you're hosting at a venue, you'll want to get the entertainer availability first, then find a venue that is available at the time of the entertainment. It is easier to find a space to host a party than it is to find talented people that look like and can perform as the character you want. If you're hosting in a family member or friend's home, you may have to keep into account their time limitations, so we suggest keeping them in the loop in the bookng process by adding them to the text chain or email chain. Our recommendations for booking depending on where your party is are as follows.

Your home: 1-2 months (factor in time slot you would like to book)

Venue: 2-4 months (factor in venue saturation and time slot you would like to book)

Family or friend's house: 2-4 months (factor in time slot you would like to book and working around their availability.)
